Information you provide directly: Account registration data (name, email, business name, phone number), billing information (processed by Stripe — we never store raw card numbers), business profile information, and communications you send us.
Information collected when you connect your tools: Financial data from accounting software (QuickBooks, Xero), transaction data from payment processors, payroll data, e-commerce data, and bank account transaction data (read-only, via Plaid).
Usage and technical data: Log data, device information, cookies, and feature usage patterns (to improve the product).
We use your data exclusively to operate and improve the NovaBiz OS platform, provide AI-powered business services, send transactional communications, provide customer support, comply with legal obligations, and detect and prevent fraud.
We do not sell your data, use your financial data to train AI models sold to competitors, send unsolicited marketing to your customers, or share identifiable business data with advertisers.
Service providers: Trusted vendors who help operate our platform (AWS, Stripe, Plaid, SendGrid). All bound by data processing agreements.
Expert marketplace: When you request a referral, we share only the information necessary to fulfill that referral, with your explicit consent.
Legal requirements: When required by law, court order, or to protect rights and safety.
Business transfers: In the event of a merger or acquisition, we will notify you before any data transfer.
AES-256 encryption at rest, TLS 1.3 encryption in transit, SOC 2 Type II compliance (in progress), role-based access controls with MFA, regular third-party penetration testing, and read-only API tokens for all financial data connections.
Active account data is retained for the duration of your subscription plus 7 years (tax compliance). Financial records: 7 years per IRS requirements. Support communications: 3 years. After cancellation: 90-day export window, then permanent deletion.
You may have the right to access, correct, delete, or receive a copy of your data. Email [email protected]. We respond within 30 days. California residents (CCPA): we do not sell personal information.
We use essential cookies (to keep you logged in), functional cookies (preferences), and analytics cookies (Google Analytics 4 — can be opted out). No advertising cookies are used.
NovaBiz OS is a business platform intended for users 18 and older. We do not knowingly collect data from minors.
We will notify you of material changes via email and in-app notification at least 30 days before they take effect.
